[Introduction] Beijing Jiuxiao Wujie Technology Co., Ltd. ("we", "us") understands the importance of personal information to you. In accordance with applicable laws and regulations, we adopt corresponding security measures and do our utmost to keep your personal information secure and under your control. Provisions in this Policy that directly affect your interests (such as the categories and purposes of information we process and your rights) are highlighted in bold — please pay particular attention.

This Policy applies to the PDF批注通 (AnnoSync) and ID tools desktop software and the website annosync.cn. Please read and fully understand this Policy before use. We will seek your confirmation through prominent means such as a checkbox on the registration page; for the processing of personal information necessary to deliver the core functions described in this Policy, we rely on your consent and on the necessity of performing our contract with you. You may refuse or withdraw consent to non-essential processing without affecting basic functions. If you have any questions about this Policy, contact us via the channels listed at the end.

01How We Collect and Use Your Information

We collect only what a specific function requires, for that function only, itemized below:

  • Account registration and login: you register with a mobile phone number as your account identifier; we collect your phone number, password (stored encrypted), email address and email verification codes to create the Account, verify identity and secure it. Verification codes are sent by email and are valid for 15 minutes.
  • Password recovery and security notices: we send verification codes, re-binding confirmations and security notices to your bound email address.
  • Cloud annotation parsing and export validation (PDF批注通): only when you actively initiate cloud analysis or export validation, we collect the annotation content you submit, adjacent text fragments, matched phrases and validation digests, to complete that parsing/validation. Such content is deleted immediately after that processing completes — never retained, and never used to train any model.
  • Local processing in the ID tools: the ID tools process documents locally on your machine in principle and do not upload document content or annotations to our servers; if a tool offers optional cloud or AI features, we will describe the processing scope separately in that product's interface and obtain your consent.
  • AI-assisted parsing (PDF批注通 and any Product providing this feature): to improve parsing quality, complex annotations that the rule engine cannot understand may be processed with the assistance of artificial-intelligence models operated by third-party model service providers engaged by us; the relevant text fragments are processed by our servers and sent to the model providers to complete that parsing. We have agreed with them that such data shall not be used for their own purposes and shall not be used to train models.
  • License verification: when you use analysis, export or other licensed functions of any Product, the software communicates with our servers to verify license identifiers, device identifiers and license validity, to prevent license abuse.
  • Product usage statistics: when you log in and use a Product, we record the number of documents and annotations processed, solely to display a usage overview on your Account page; it is not linked to document content.
  • Crash and error reports: when any Product exits abnormally, an error report (device model, system version, error stack) is generated locally and transmitted only if you explicitly choose "report", to locate and fix problems.
  • Data-sharing improvement program (optional, off by default): in PDF批注通 and any Product providing this feature, two independent layers, each enabled voluntarily by you — (1) local recording: custom rules you actively export are recorded on this device only (never leaves the device); (2) reporting: after your separate consent, we receive usage statistics (no document content), rule samples and review-decision samples (which may contain annotation text fragments and your confirmations of edits, used to improve parsing quality; complete documents are never included). You can turn it off at any time in Settings; turning it off does not affect any function.
  • Customer support: when you contact us via the official email, we collect your contact details and the content of your message, to handle inquiries and complaints.
  • Website access logs: when you visit the website, the server records access time, referring page and request content for website security, retained for no less than six months as required by law.
  • Website statistics: when you visit the website, our self-hosted statistics component records page visits (pages, referrers, click events) for site operation analysis and security; we do not integrate any advertising or third-party statistics SDK.
  • Cookies and local storage: we use necessary cookies and browser local storage to maintain your login state and remember your preferences. You can manage or clear cookies in your browser settings, though this may affect some functions.
  • Online preview (website): when you use the website "Online Preview" feature to upload a PDF for analysis, that PDF file (the complete document) is transmitted to our servers solely for that analysis and is deleted immediately upon completion, with no copies retained; we do not use it for any other purpose.

Other than a PDF you actively upload through the website "Online Preview" feature (see above), we do not collect the full text of your documents, contacts, SMS, call records, precise location or photo albums; we do not profile you or make automated decisions; we serve no ads and integrate no advertising or third-party statistics SDK.

02Entrusted Processing and Third Parties

2.1 To provide services, we engage the following processors to handle information, and have signed data-processing and confidentiality agreements with them specifying purposes, duration, manner of processing, categories of information, security measures and the rights and obligations of both parties (processor names, contact details and processing items are listed in the annex "Processor List" and updated with this Policy):

  • Cloud server provider: hosting and network transmission within China (operating environment for accounts, license verification and parsing services);
  • Email service provider: sending verification-code emails, receipts and security notices;
  • AI model service providers: processing text fragments only within an analysis request, to complete that parsing.

2.2 Except in the following cases, we will not provide your personal information to any third party: with your explicit prior consent; as required by legal procedures or requests from judicial or administrative authorities; or where the information is lawfully transferred in a merger or acquisition (the successor remains bound by this Policy).

2.3 We will not publicly disclose your personal information, unless otherwise provided by laws and regulations.

2.4 All entrusted processing takes place within China. If personal information ever needs to be transferred abroad, we will complete the statutory procedures (including obtaining your separate consent) and update this Policy.

03How We Store

3.1 Location: your personal information is stored on servers within the People's Republic of China. We do not transfer your personal information abroad.

3.2 Retention: kept only for the shortest time necessary for the purposes described — account information for the life of the Account (with a 30-day cooling-off period after cancellation, see Section 06); cloud parsing content deleted immediately after that processing completes; Online-Preview uploads deleted immediately after analysis; error reports retained for up to 180 days from submission; website logs no less than six months (statutory requirement); data beyond such periods is deleted or anonymized. The ID tools process documents locally; document content and results are kept by you on your machine and are not stored by us, and licence verification involves only licence and device identifiers.

04How We Protect

4.1 We adopt industry-standard security technologies and management measures such as encryption in transit, encryption at rest, access control and least privilege to protect your information from unauthorized access, disclosure, use, modification, damage or loss.

4.2 We maintain a personal-information security incident response plan. Should an unfortunate leakage occur, we will, as required by law, promptly inform you of the likely causes, possible impact and remedial measures taken, and report to the competent authorities.

4.3 Please note no security measure can guarantee absolute security. Keep your Account credentials safe and avoid using the service in insecure environments.

05Your Rights

Under applicable law you have the following rights regarding your personal information. Exercise them via each Product's "Settings" page or the official email; we will respond within 15 business days:

  • Access and copy: access and copy your account information and license records;
  • Correction and supplementation: correct or complete inaccurate or incomplete information;
  • Deletion: request deletion of your personal information under statutory circumstances;
  • Withdrawal of consent: withdraw consent previously given (including reporting under the data-sharing improvement program); withdrawal does not affect processing already carried out based on consent;
  • Data portability: request transfer of your personal information to a personal information handler you designate, through channels we provide in accordance with the law;
  • Restriction of processing: request restriction of processing under statutory circumstances;
  • Explanation: request an explanation of this Policy and our personal-information processing rules;
  • Account cancellation: see Section 06;
  • Complaints and reporting: if you believe our processing harms your rights, complain to us or report to the competent authorities.

06Account Cancellation

6.1 You may apply for Account cancellation at any time via the official email. For account and transaction security, we may ask you to complete identity verification.

6.2 After cancellation, we will stop providing services to you and delete or anonymize your personal information in accordance with the law (except records that must be retained by law). There is a 30-day cooling-off period from your cancellation request, during which you may log in at any time to revoke; after the cooling-off period we execute deletion. Unused card keys, order entitlements and account data under the Account cannot be recovered; an activated licence bound to a device is not automatically released by account cancellation and continues to be handled under the licence rules of the relevant Product and server verification results (see Section 2.3 of the Terms of Service).

6.3 Records that must be retained by law (such as transaction records) will continue to be protected under this Policy during the statutory retention period.

07Protection of Minors

7.1 Our products and services target adult professionals. We do not serve children under 14 and do not actively collect children's personal information. If you are a child's guardian and find that a child has registered with us or provided personal information, contact us via the official email and we will delete it as soon as possible. If we discover that we have collected personal information of a child under 14 without verifiable prior consent from a parent or guardian, we will try to delete the relevant data promptly.

7.2 Minors aged 14 or above but under 18 should use the products and services with guardian consent and guidance.

08Changes to This Policy

8.1 We may revise this Policy from time to time. Without your explicit consent, we will not reduce your rights under this Policy.

8.2 For material changes to this Policy (such as processing purposes, processing methods, categories of personal information processed, or recipients of sharing), we will notify you through prominent means such as website announcements and in-app notices, and obtain your consent again or offer you the option to refuse, as required by law.

8.3 The effective date and update records of this Policy are displayed at the top of the page for you to review historical versions.
